First-Time Pilot Registration

This section explains how to register for pilot access if you do not have an existing Air Carrier, Proxy or Trustee role. If you have an existing Air Carrier, Proxy or Trustee role, refer to section: First-Time Pilot Registration .

Only ATP, Commercial or Remote Pilots who are eligible for hire and have a current medical certificate can register to use the PRD. Holders of temporary Airman Certificates may need to enter the superseded Certificate Date of Issue in the PRD after receiving their permanent Airman Certificate card in the mail from the Airman Registry.

If holding an ATP or Commercial certificate only, an expired or denied medical certificate will prevent you from registering in the PRD as will an incorrect airman certificate date of issue. Access to the Pilot Records Database (PRD) is managed through the MyAccess application. MyAccess is the Department of Transportation’s sign-on system for web applications. Users must have an active MyAccess account to log into the PRD application. MyAccess manages user IDs and security questions to control access. This section explains how to access the PRD and MyAccess log on.

  1. Open the web browser and navigate to the FAA home page (https://www.faa.gov/regulations_policies/pilot_records_database).
  2. Click the Register Here link displayed in the For Pilots (Commercial, ATP, or Remote) section. 3. The instructions for the Pilot Registration Process for PRD display.

  3. To create a Pilot account, click the prd.faa.gov (Pilot) link in the document.

  1. Click Accept to accept the terms of use and continue, or click the Exit to exit the PRD application. The MyAccess CIAM Sign-in page displays.

  2. If you do not have a MyAccess account, follow the steps below to register for a MyAccess External User account:

  3. Click the New User? Register for an external account link which navigates to the starting page for the MyAccess External User Registration process.

If needed, before entering the requested information, click the Registration Help link located just below the MyAccess External User Registration title. The MyAccess External User Registration Job Aid displays.

  1. Once you have completed the process of setting up your MyAccess user account, you will be routed to the PRD Airman Records External application First Time User Registration page.

  2. Complete the registration information and click Submit. Ensure you enter the information EXACTLY as it appears on your current Pilot certificate. If you receive an error when submitting your information read this help guide for more information.

  3. Select the Pilot role from the Select Role drop-down list.

  4. Click the Select button to enter the PRD Airman Records application as a Pilot user.

Existing AC, Proxy or Trustee Role: Pilot Role Registration

If you have an existing Air Carrier, Proxy or Trustee role, pilot registration is performed by accessing the Air Carrier portal and signing in using your MyAccess credentials. On the Select Access Criteria page, click the link “If you would like to register as a Pilot, Please click here.” This will take you to the PRD Pilot Registration page in the PRD Airman Records portal where you can sign up for a pilot role.

Multifactor Authentication

For improved security, the FAA has changed its user sign-in process to require multifactor authentication (MFA). As a result, all existing users of FAA applications will have to go through a first-time sign-in process to set up multifactor authentication within MyAccess.

If you are an existing External (or non-FAA) user of the Pilot Records Database (PRD) application, follow the steps below to set up multifactor authentication for the email account you use to access the PRD.

  1. Open the web browser and go to the FAA Pilot Record Database (PRD) page (https://www.faa.gov/regulations_policies/pilot_records_database).

  2. Click the Pilot Login or Reporting Entity Login link displayed on the FAA PRD page.

  3. You are routed to the MyAccess Single Sign-On (SSO) screen.

  4. Enter the email address you used previously to access the PRD application into the Email Address field and click Next. Note: This step begins a required password reset process. The Reset Password screen displays.

  5. An email is sent to your registered email address with instructions for you to reset your password using a Reset Password link. The screen below shows the email confirmation.

  6. You will receive an email containing a Reset Password link. Click Reset Password to continue the process. Note: The link will only be active for one hour, after which you will need to start the process over.

  7. Follow the prompts on the screen to complete the password reset process. Note: Your new password must be eight (8) characters long and should not contain any parts of your username. Enter the password in the New password and Repeat password fields. Click Reset Password to proceed with email verification.

  8. You will be prompted to receive a verification code (OTP) to your registered email address Note: This is a security step to authenticate your email address. Click Send me the code.

  9. Verify the email account by entering the verification code (OTP) sent to your email address. Click Setup under the Okta Verify option.

  10. After successful enrollment using one of the MFA options, click Finish to proceed to the next step.

  11. Once you have successfully completed the above steps, you will be routed back to the Pilot Records Database (PRD) application. This completes the first-time process of setting up multifactor authentication for your email account.

  12. Once you are routed back to the PRD application, the System Use Notice displays. The System Use Notice page has two parts: the System Use Notice and the Privacy Act and Paperwork Reduction Act statements.

  13. Click the Accept button to continue the login process. The Select Access Criteria page displays.

  14. When the Select Access Criteria page displays, select the Pilot access role. For other access roles, see Role Selection.

  15. Click Select to log into the PRD portal. The Pilot Inbox page displays.
